What we collect, and why.

Public website and consultation requests

When you submit a consultation request or contact form, we collect the information you provide, such as your name, email address, phone number, notes, and project details. This information is sent directly to our business email so we can respond to your request.

Client portal accounts

Client portal access is invite-only. We use Google Firebase Authentication for account authentication, which may include your email address, password, authentication identifiers, and security-related account data handled by Firebase.

Client business and service information

For active clients, we may store business information such as business name, business address, project details, Google Business Profile-related information, service preferences, support requests, invoices, milestones, and other details needed to provide our services.

Files, tickets, and generated materials

The client portal may allow clients and ThatWebTech to store support tickets, images, PDFs, documents, references, and other project-related files. Files are intended to be visible only to the relevant client, ThatWebTech, and authorized team members or service providers who need access to support the work.

Integrations, API keys, and connected services

When needed to provide services, we may store integration settings, API keys, access tokens, or similar credentials for tools such as Google Analytics 4, Google Search Console, Cloudflare, PayloadCMS, Google Business Profile, or related services. We use this information only to provide, maintain, troubleshoot, or secure the services requested by the client.

We use essential cookies and similar technologies to operate the website and client portal, including session cookies that keep users logged in. With your permission, we may also use analytics, advertising, or behavior-measurement tools such as Google Analytics 4, Hotjar, and Google Ads.

Who can see client data.

We do not sell personal information. We may share information with service providers, infrastructure providers, analytics or advertising tools, authentication providers, email providers, contractors, employees, or other authorized helpers when needed to operate the website, provide services, secure the platform, or support client work.

ThatWebTech can access client portal information, support tickets, files, project materials, integration details, and related account data for support, troubleshooting, maintenance, security, and service delivery. If we hire employees, contractors, or subcontractors in the future, they may receive access only when reasonably needed for the work.

We may also disclose information when required by law, to enforce our Terms, to protect rights and safety, to investigate misuse, or in connection with a business transfer such as a merger, acquisition, restructuring, or sale of assets.

Keep what is needed. Delete what is not.

We keep information for as long as reasonably needed to provide services, maintain records, resolve disputes, comply with legal obligations, protect against fraud or misuse, enforce agreements, and support normal business operations. Inactive client portal accounts and project files may be retained for a reasonable period unless deletion is requested or a separate agreement requires something different.

You may request access, correction, deletion, or export of your personal information by contacting us. We may need to verify your identity before completing a request, and we may retain certain records where required for legal, tax, accounting, security, dispute-resolution, or contractual reasons.

We do not knowingly collect personal information from children under 13, and the client portal is intended for business clients and authorized users only.
